Position Summary
The Loan Quality Control Specialist is responsible for ensuring the quality of Carver’s loan data and files and assisting the Loan Support Manager with assigned projects and manage non-direct report staff as requested. This role will work with the Loan Origination Specialist and Closer to ensure loan files are complete and loan data is accurately entered into Carver’s various systems. The Loan Quality Control Specialist is responsible for maintaining and organizing Carver’s loan data databases and its paper and digital loan files (and helping Carver employees access the loan data and files). This position will work directly with Carver’s Compliance department to ensure that the Bank’s reportable data is accurate and accessible. Likewise, this position will work with the Loan Support Manager to ensure that the Loan Servicing Department reacts and organizes itself in response to changes in the regulatory environment.  This position will work with all Carver departments; key partners include the Lending, Portfolio Management, Audit, Compliance and Finance & Accounting departments.
 
Essential Duties and Responsibilities
Support (25%)
  • Build and strengthen cross-functional relationship with key internal partners (e.g., Finance/Accounting).
  • Proactively improve Loan Support Department processes to ensure easy access to and high quality service regarding the Bank’s loan data and files
  • Support Special Projects Manager as needed
  • Identify, retrieve, and/or deliver original loan files and documents as requested
  • Support the Lending, Compliance, Credit, Portfolio Management, and Loan Workout departments as requested
  • Liaise with other departments (i.e., Finance/Accounting) to coordinate loan data collection, storage, and uses
  • Prepare administrative reports as requested
Loan File and Data Quality Control (50%)
  • Manage loan file and data collection, entry and storage, including:
    • Verify that Closer scans or otherwise uploads all new loan documents into Carver’s document management system in a timely manner
    • Ensure all loan documentation is properly obtained and completed
    • File and vault original hard copy loan files
  • Manage the collection and delivery of loan data and documents for loan sales
  • Review denied/withdrawn loan documentation and data for completeness and accuracy
  • Review loan files for completeness and accuracy at closing
  • Review purchased loan data and documentation for completeness and accuracy
  • Oversee loan purchase processes in collaboration with Compliance, Finance and Accounting, Legal, and other departments
  • Collect loan data and documents from loan pool sellers
Audit Compliance (25%)
  • Maintain Carver’s library of loan files, including digital loan files (in Carver’s document management system) and hard copy loan files
  • Periodically audit digital and hard copy libraries for completeness and organization and maintain tracking reports for audit control
  • Ensure loan records comply with Bank standards and procedures and regulatory policies
  • Assist auditors and regulators with reviews and audits by providing loan files as requested
Qualifications/Requirements
  • Minimum Associates Degree or equivalent related business experience.
  • Minimum 5 years experience in loan administration, loan servicing, loan documentation and/or credit required
  • Strong communications skills and the ability to communicate effectively verbally and in writing
  • Excellent organizational, time management, analytical, and delegation skills
  • Strong attention to detail
  • Knowledge of commercial real estate, construction, business, SBA, residential and consumer mortgage loan processing and loan documentation
  • Knowledge of State, Federal and general banking compliance requirements and regulations
  • Knowledge of Fiserv, EasyLender and Sageworks loan system
  • Excellent Microsoft Excel & Word skills
  • Familiarity with Director software
  • Familiarity with all phases of loan processing
  • Ability to lift and move paper credit files
