Position Summary:
The Loan Administration Manager is responsible for managing all loan administration functions of the mortgage real estate loan portfolio, business loan portfolio, construction loan portfolio, and small business administration portfolios including the following activities: loan on-boarding; loan system setup; FHLB pledging; loan closing and post-closing quality control and audits; vault management; and information management reporting and distribution.

Essential Duties and Responsibilities:
  • Overall daily management and responsibility for loan document execution processes, including establishing strong controls, and diligent follow up with the Bank’s attorney network, to ensure closing requirements and deadlines are met.
  • Manage all loan administrative and closing personnel.
  • Hiring, retaining, developing and motivating Loan Administration staff. Assess the overall strengths and skill levels within the current organization.
  • Managing departmental functions by establishing operational controls and standards, monitoring on-going operations and adjusting priorities to meet changing conditions, establishing and maintaining proper record keeping and reporting systems, and developing and administering department budget.
  • Ensure effective cash management controls over loan funding/disbursements, and settlement with third parties.
  • Interpretation and execution of all new regulatory and investor requirements as required, including oversight of representing the organization at loan closings.
  • Directly manage all record retention responsibilities for the Bank’s loan portfolio, including monitoring, lien release management, lien perfections/records, and oversight of all legal and credit permanent loan files.
  • Interact and provide supporting loan information with middle management from various operating departments inclusive of Credit Risk, loan loss reserve support, Accounting, Compliance, Audit, Lending Officers, and Community Development/CRA.
  • Analyze, assess and provide input into the Bank’s loan document platforms, technology, and loan administration best practices to determine the potential impact on the business and to recommend solutions that will address critical deficiencies or opportunities for improvement.
  • As appropriate, make positive change occur relative to organizational structure/new staff hires/retention programs and development of key resources.
  • Responsible for regulatory, internal and other audits of the functional area and liaison with the Loan Operations department on Risk Management, Compliance and Operational Risk.
  • Act as a facilitator for identifying high payback areas to support the company s strategic initiatives that enhance the overall ability to support customers at a reduced operating cost.
  • Ensure the Loan Administration department complies with all relevant loan administration government regulations by interpreting and executing all new regulatory and investor requirements, as well as representing the organization in a leadership role.
  • The Loan Administration Manager is also responsible for ensuring that all Loan Administration employees provide superior customer service as well as ensuring that effective procedures are maintained and developed while monitoring them for compliance. The Loan Administration Manager will support the COO.
Background and Experience:
  • Extensive knowledge of loan administration systems, FHLB guidelines, credit and support, and loan principles and practices
  • Strong knowledge of core loan systems and platforms, preferably Premier Navigator, and WebDirector, LazerPro and Sageworks, LexisNexis, Equifax, CT Lien and FISERV WireExchange.
  • Knowledge of federal and regulatory compliance
  • Ability to resolve external and internal customer service requirements
  • Excellent organizational and administrative skills, including juggling competing tasks and delegating assignments based on department priorities
  • Four-year college degree
  • Excellent verbal and written communication skills
  • Proficient PC skills: MS Office products, Excel and front end software systems
  • Experience in loan audit, loan closing, and promissory note reviews
  • Ability to identify opportunities to automate manual processes
  • Ability to foster teamwork within the department and throughout the corporation
